What we collect and how we use personal data.

We process the personal data of individuals, which includes names, telephone numbers and email addresses. We do not share your information with any other individual or organisation without your permission.

Why we collect and use your personal data?

We may process your data for a number of different purposes, where each purpose must have a legal ground for such processing. Generally, we will rely on the following grounds:

  1. We use your personal information as necessary to provide a coaching service or as part of our contract with you.

  2. We use your personal information to respond to enquiries made via our website.

  3. You have sent us your messages, in which case the personal information you provided will be accessible to the Data Controller. You will not automatically be signed up for any email marketing, nor will your personal information be shared publicly or with any third parties.

  4. We have a legitimate interest to process your personal data and this interest is not overridden by your privacy rights. We will rely on this for activities such as quality assurance, maintaining our business records and developing and improving our services. More detailed information about our legitimate interests is set out below.

  5. We have a legal or regulatory obligation to process your data.

  6. We need to use your personal data to establish, exercise or defend our legal rights.

  7. You have provided your consent to our use of your personal data. Ordinarily, we will only ask you for permission to process your personal information if there is no other legal reason to process it. You have the right to withdraw your consent at any time.

Legitimate interests.

We may process your data for a number of legitimate interests in circumstances where these interests are not overridden by your privacy rights. Taking into account your privacy rights, our legitimate interests include:

  1. To manage our relationship with you and third parties who provide services for us.

  2. To keep our records up to date and accurate.

  3. To monitor how well we are meeting your expectations.

Who do we share your data with?

We may disclose your information to the third parties listed below for the purposes described in this privacy notice.

  1. Government bodies and local authorities.

  2. The police and other third parties where reasonably necessary for the prevention or detection of crime.

  3. Our third-party services providers such as lawyers and document management providers.

How long do we keep your data for?

We will only keep your personal information for as long as reasonably necessary to fulfil the relevant purposes set out in this privacy notice and in order to comply with our legal and regulatory obligations.

We take appropriate measures to secure your personal information and protect it against unauthorised or unlawful processing, as well as against its accidental loss, destruction or damage. Where your records are stored (print or digital/electronic), we ensure that the storage facilities are secure.

What are your rights to your personal information?

You have the following rights to your personal information:

  1. Right to request access to your personal information and information relating to our use and processing of your personal information. The information will be assessed and may have information provided by third parties or about third parties removed before it is given to you.

  2. Right to restrict the use of your information. In some circumstances, we must "pause" our use of your personal data if you ask us to. We do not have to comply with all requests to restrict our use of your personal information.  For example, we do not have to comply if we need to use your personal information to defend a legal claim against us.

  3. Right to receive your personal information in a structured commonly-used and machine-readable format or transmit the data directly to another Data Controller.

  4. Right to object to the processing of your personal information for certain purposes such as direct marketing and profiling.

  5. Right to request your personal information to be deleted (also known as the right to be erasure) where it is no longer necessary for the purpose for which it was collected. In some circumstances, we must delete your personal information if you ask us to but in many other circumstances where we have a valid legal reason to retain your personal information. We do not have to comply with requests to delete personal information. We may also need to retain data for regulatory purposes. We do not have to comply if we need to retain your personal information in case you make a legal claim against us.

  6. Right to withdraw consent where we have relied on this as a condition for processing.

  7. Right to ask for your information to be corrected if it is inaccurate or incomplete. If you think any information about you held by us is incorrect, please discuss with us.

  8. Right to object to how your information is used. Please make requests in writing to us advising what changes you would like us to make.

If you wish to exercise any of the rights set out above, please contact us.

Fee

You will not usually have to pay a fee to access your personal data (or to exercise any of the other rights). However, we may charge a reasonable fee if your request takes over 2 weeks to process. Alternatively, we may refuse to comply with your request in these circumstances.

What we may need from you.

We may need to request specific information from you to help us confirm your identity and ensure your right to access your personal data (or to exercise any of your other rights). This is a security measure to ensure that personal data is not disclosed to any person who has no right to receive it.
